Prepare a program and continuity file
By EducationExits · Published

An education business carries obligations to learners as well as a set of financial records. A useful preparation file explains the programs, the people delivering them and the arrangements that allow the institution to operate. Begin with the actual business model; a learning center, workforce school and corporate-training provider do not share one approval process.
Describe programs without exposing learner records
Prepare an offline program schedule showing delivery format, schedule, revenue categories and the roles responsible for administration and teaching. Use aggregate enrollment and completion information only where appropriate. Keep names, individual educational records and sensitive personal information out of public planning tools.
Reconcile program-level reporting to the accounting records with your accountant. Where programs share instructors, facilities or platforms, document how costs are allocated and which allocations need review. An aggregate dashboard should not imply a performance claim that the records cannot support.
Document the continuity of teaching and content
Gather agreements governing curriculum, content, platforms and instructor work. Privately identify ownership, permitted use, renewal and transfer questions for counsel. A course being available in a learning platform does not by itself establish who owns the underlying material.
Map instructor and leadership coverage by role. Describe what happens when a key person is unavailable and which decisions rely on the current owner. Take a practical example, such as scheduling the next program intake, and document the steps and dependencies.
Check the approval pathway for this institution
The Federal Student Aid handbook addresses changes in ownership and control for institutions participating in federal student-aid programs. That scope matters. It should not be applied as a universal rule for every tutoring, training or learning business, and current requirements must be checked with the relevant authority.
List the approvals, accrediting relationships and funding arrangements that actually apply, then ask qualified counsel which review or notice steps the proposed structure triggers. The SBA’s sale guidance can help frame the broader agreement discussion. A program file supports professional review; it cannot determine approval or promise uninterrupted funding.
